How To Do Event Management Effectively For Better Business Results

Event Management can be a large but rewarding job, of course, it is part of an evolving public relationship. To manage an event you typically will get to select your committee (if they’re not already permanently selected through the company you work for), choose the date, plan the event, control the publicity, and make the event as fun or as informational as you would like.

To manage an event you will first need to select your committee. How large your committee needs to depend on how large the event will be as well as how much time do you have to plan for it. If you are planning a simple office birthday party for one of your employees, you will probably not need a large committee but rather someone to pick up food, and someone to set up, and possibly someone to advertise.

However, if you are planning a large company-wide event, and you work in a large company, you will want to pick enough people for your committee that you can delegate enough assignments out to make sure everyone has enough time and energy to do their assignment to the best of their ability. Again the number of assignments one person can handle will depend on the time you have before your event.

After selecting your committee together you will want to choose a date. It will be important to get the opinions of your different committee members because most people come from different lifestyles and have different opinions on when the event should be held. For instance, one employee may have a family with young children and if they are to bring their children to the event (possibly it is a party for company moral), then they will want to event to be held on a weekend when the children don’t have to be in bed so early.

But if another employee is single, then unless they have friends that also work at the company they will most likely want the event on a work night so that they still have their weekend to improve their social life. Each employee’s situation is going to be equally important and that is why you will want to get different opinions so that you can come up with a solution that will work for everyone. (Possibly holding the event on a weekend in the late afternoon so there is still time for the singles to have a social life and the kids to get to bed.)

Once the date for the event has been chosen you can choose the plan for the event. Is the event informational, training, or is it simply a party to boost company morale? (Hopefully, it’s a party as those are always the most fun.) You will want to write down the objectives you want to accomplish with this event and make sure everyone on the committee has a copy so that in performing their individual assignments you can all be doing them with one purpose in mind.

Once the objective is set down the event is planned you will need to publicize the event. Publicity will depend on how much time you have before the event actually comes up. For instance, if it is a birthday party you are throwing during lunchtime, probably sending out an email a week before, and then a day before is enough reminder.

You can also post a reminder in the break or conference room. If it is a large event, such as an end of the year awards ceremony, you may want to be preparing employees months, even to a year in advance so that they can be preparing either to earn an award or to support those within the company who earned an award.

Event management can be a lot of work and a lot of fun. If you don’t pick out the appropriate amount of committee members, and delegate enough assignments than it will probably end up being more work than fun. However, if you are willing to organize and to delegate assignments, then helping to make sure everyone completes their assignments and making sure things run smoothly can be both fun and rewarding whether the event is a party or company training.
